Job Description
We are seeking a
professional and courteous Receptionist for our clinic to be the first point of
contact for our client’s clinic. The ideal candidate will have excellent
interpersonal and organizational skills, with a passion for providing
outstanding customer service. As the face of the clinic, you will play a
crucial role in creating a welcoming and supportive environment for our
patients, ensuring their visits are pleasant and efficient.
Key Responsibilities

Patient Reception: Greet
patients and visitors warmly upon their arrival, confirming appointments,
directing them to the appropriate offices, and providing necessary paperwork or
information.

Appointment Scheduling: Manage the clinic’s schedule, including booking
appointments, making reminder calls, and handling rescheduling or cancellations
to maximize clinic efficiency.

Telephone and Email Management: Answer phone calls and emails
promptly, providing information, taking messages, or redirecting queries to the
appropriate staff member.

Patient Records: Maintain
accurate and up-to-date patient records in the clinic’s database, ensuring
confidentiality and compliance with healthcare regulations.

Billing and Payments: Handle billing inquiries, process payments, and
prepare invoices and receipts for patients.
·
Office Administration: Perform administrative duties such as filing,
photocopying, and organizing clinic paperwork. Assist in managing clinic
supplies and ensuring the reception area is tidy and welcoming.

Liaison: Act
as a liaison between patients and medical staff, facilitating communication and
ensuring patients’ needs are met promptly.
· Feedback Collection: Collect patient feedback on their clinic experience and relay important information to management for quality improvement.
Qualifications
·
High school diploma or equivalent; additional certification
in Office Management or a related field is a plus.
·
Proven work experience as a Receptionist, Front Office
Representative, or similar role, preferably in a healthcare setting.
·
Strong communication and interpersonal skills.
·
Proficiency in Microsoft Office Suite and experience with
medical software systems.
·
Excellent organizational and multitasking abilities.
·
Compassionate and patient-focused approach.
· Ability to handle sensitive information confidentially.
